A launch event is a room that has to become somewhere else for one evening. The set is what does that. It decides where the audience looks, how the product is revealed, how the room photographs and how it feels to be inside. Yet set design is often the last line added to an event budget and the first cut, replaced by a rented backdrop and a step-and-repeat. This post explains what set and scenic design actually involves, what a set design company in Calgary should deliver, what a launch specifically needs, and what it typically costs. What a Set Does That Decor Cannot

Decor dresses a room. A set restructures it. The difference is spatial: a set changes where people sit, stand, walk and look, and it controls the reveal. For a product launch, the set decides when the product is first seen, from where and under what light. For a brand activation, it decides how people move through the space, where they stop and the backdrop every photograph will carry. Both are staged events, and staging is an architectural problem before it is a decorative one.

A set is a temporary building inside a permanent one, and it has the same questions: structure, circulation, light, material, sequence. What a Launch Event Needs

A launch has one job: to make the first sight of the product memorable. The set is built around that moment. In practice a launch set has four parts.

The Stages of a Set Design Project

Ten to sixteen weeks is comfortable. The stage most often skipped is the test assembly, and it is the one that saves the event: a set assembled once in the shop goes up on site in hours rather than days, and the problems are found where there is time to fix them. What a Set Design Company Should Deliver

Ask for the list in writing. A set design company should provide a concept with references, a scaled floor plan and elevations, a 3D model or renderings you can approve from, a materials and finishes schedule with samples, fabrication drawings a shop can build from, a lighting and AV coordination plan, an install and strike schedule with crew numbers, and a named person on site during the build. Engineering for anything tall, suspended or load-bearing should be arranged and included.

Some studios stop at drawings and hand over to a fabricator and an event producer. That can work, but it splits accountability across three companies at the moment it matters most. Scenic Design for Outdoor and Public Settings

Set design does not stop at the venue door. The same discipline produces outdoor environments. Outdoor sets add wind, weather, ballast, drainage and public safety to the list, and they reward the same test-assembly discipline.

Typical Calgary Budgets

These are broad bands from our own quoting and from the Calgary market, including design, fabrication, installation and strike. Venue, catering, AV hire, talent and production management are separate.

The variable that moves these most is the reveal mechanism, followed by projection and lighting integration. A set that is designed to be reused, for a touring launch or an annual event, costs more the first time and much less after that.
